SaaS company focus on a small set of metrics: annual recurring revenue (ARR) and its growth rate, net revenue retention, gross margin, customer acquisition cost payback, burn multiple and the Rule of 40. Founders who report these consistently, with clear definitions and clean underlying data, raise capital faster and negotiate from a stronger position.
Every SaaS founder has a dashboard. Few have one that holds up in due diligence. A pitch deck might show impressive growth, but experienced investors will quickly ask how ARR is calculated, whether churn includes downgrades, and how much of the growth was bought with discounts or heavy sales spend. If the answers are vague or the numbers shift between conversations, confidence drops fast. SaaS CFO services
That is why many venture-backed and bootstrapped companies bring in specialized SaaS CFO services well before a funding round. The goal is not simply to produce more reports. It is to track the right metrics the right way, so the story in the deck matches the story in the data room.
Here are the numbers that carry the most weight with investors, how to calculate them, and how to present them credibly.
Recurring Revenue: The Foundation Everything Else Sits On
Definition: Annual recurring revenue (ARR) is the annualized value of active subscription contracts. Monthly recurring revenue (MRR) is the same figure on a monthly basis.
ARR sounds simple, but it is where many founders lose credibility. Investors expect ARR to include only predictable, contracted subscription revenue. That means excluding:
● One-time implementation or onboarding fees
● Professional services and consulting revenue
● Usage overages that are not contractually committed
● Signed contracts that have not started yet (these belong in a separate "contracted ARR" line if shown at all)
Growth rate matters as much as the absolute number. Investors will look at month-over-month and year-over-year ARR growth, and they will want to see the components behind it: new business, expansion, contraction and churn. An ARR bridge, sometimes called an ARR waterfall, shows exactly how the number moved each month and is one of the most useful slides a founder can prepare.
Retention: The Metric That Separates Good From Great
Acquiring customers proves there is demand. Keeping and growing them proves the product delivers value.
Gross revenue retention (GRR) measures how much recurring revenue from an existing customer group remains after churn and downgrades, without counting expansion. It can never exceed 100 percent.
Net revenue retention (NRR) measures the same group's revenue after churn, downgrades and expansion from upsells or added seats. NRR above 100 percent means the existing customer base grows on its own, even with zero new sales.
Investors often treat NRR as a proxy for product strength. A company with strong NRR can grow efficiently because each cohort becomes more valuable over time. To report retention credibly:

Calculate it by cohort, not only as a blended figure
Show both logo churn (customers lost) and revenue churn (dollars lost)
Break results out by customer segment, since SMB and enterprise accounts often behave very differently
Keep the definition identical from month to month
Unit Economics: What It Costs to Grow
Growth only impresses investors if it is affordable. Unit economics show whether each new customer creates value or quietly destroys it.
Metric How It Is Calculated What Investors Look For
Customer acquisition cost (CAC) Sales and marketing spend divided by new customers acquired Consistency and a clear trend
CAC payback period CAC divided by monthly gross margin per new customer Shorter is better; many investors prefer roughly 12 to 18 months or less, depending on segment
Customer lifetime value (LTV) Average gross margin per customer over the expected customer lifetime Reasonable assumptions, not inflated lifetimes
LTV to CAC ratio LTV divided by CAC A common rule of thumb is 3:1 or better
Gross margin (Revenue minus cost of revenue) divided by revenue Healthy SaaS businesses often target high margins, frequently 70 percent or more
Gross margin deserves special attention. Founders sometimes leave hosting, third-party software, customer support and onboarding costs out of cost of revenue, which inflates margin. Sophisticated investors will recalculate it, so it is better to classify these costs correctly from the start.
Efficiency Metrics: How Investors Judge Burn
In recent years, investors have placed far more weight on capital efficiency. Fast growth at any cost is no longer an easy sell.
Burn multiple equals net cash burned divided by net new ARR over the same period. A lower burn multiple means the company is generating more recurring revenue for every dollar it spends. It is one of the fastest ways for an investor to judge whether growth is efficient.
The Rule of 40 adds a company's revenue growth rate to its profit margin (often EBITDA or free cash flow margin). A combined result of 40 or higher is widely viewed as a sign of a healthy balance between growth and profitability.
Runway is the number of months the company can operate at its current burn before running out of cash. Investors want to know whether their capital will carry the company to its next major milestone, so runway should always be tied to a realistic plan.
Burn and runway projections depend heavily on the quality of the underlying model. Companies that invest in solid financial modeling services can show investors multiple scenarios, such as base case, upside and conservative, and explain exactly which assumptions drive each one.
How to Present Metrics So They Build Trust
Having good numbers is only half the job. How they are presented can make or break investor confidence.
Define every metric in writing. Include a short definitions page in the data room. It prevents confusion and signals discipline.
Tie metrics back to the financial statements. ARR, revenue and cash should reconcile to the income statement and balance sheet. Discrepancies are red flags.
Use accrual accounting and proper revenue recognition. Annual contracts paid upfront should be recognized over the service period, not booked all at once. Investors expect statements that follow accepted accounting standards.
Show trends, not snapshots. Twelve to twenty-four months of monthly data tells a far better story than a single impressive quarter.
Explain the anomalies before investors find them. A big churned customer or a one-time spike in spend is manageable when disclosed upfront. It becomes a trust issue when discovered in diligence.
Keep the data room current. Updating metrics monthly during a raise shows momentum and control.
Don't Overlook Non-Dilutive Cash
Investor capital is not the only way to extend runway. Many software companies qualify for the federal R&D tax credit because building and improving software often counts as qualified research. Developer salaries, certain contractor costs and related expenses may contribute to the credit.
For early-stage companies that are not yet profitable, qualifying small businesses may be able to apply the credit against payroll taxes, turning it into usable cash sooner. That extra runway can reduce how much a founder needs to raise, which in turn limits dilution. Eligibility rules are specific, so it is worth reviewing with a qualified advisor before assuming the company does or does not qualify.
How K-38 Consulting Prepares SaaS Companies for Investor Scrutiny
K-38 Consulting, a Raleigh, North Carolina based finance firm founded by Dallas Alford IV, CPA, works with SaaS startups across the United States to build the financial foundation investors expect.
Rather than relying on a single part-time consultant, the firm pairs clients with a finance team that typically includes both a controller and a CFO. The controller handles accurate books, proper revenue recognition and a reliable monthly close. The CFO focuses on SaaS metrics, burn rate management, investor reporting, financial modeling and fundraising support. For founders, that means the numbers in the pitch deck and the numbers in the financial statements come from the same trusted source.
The firm's SaaS work centers on the metrics covered above, including recurring revenue tracking, retention analysis, unit economics and runway planning. Its team uses modern accounting platforms such as QuickBooks and NetSuite, along with web-based forecasting tools that give leadership an up-to-date view of performance. According to the firm, many businesses lose 10 to 15 hours a month to manual accounting processes, so automation is built into how it sets up client finance operations.
K-38 Consulting has published a case study describing how a two-year-old healthcare SaaS company from Connecticut, which had raised $5 million, doubled its growth while working with the firm's outsourced CFO team. Client feedback points in the same direction: CloudNova Solutions, a SaaS startup, has credited the firm with helping it improve cash flow, strengthen its revenue cycle, make data-driven decisions and attract investors.
Because the firm also offers R&D tax credit services, SaaS clients can connect non-dilutive funding opportunities directly to their runway and fundraising plans. K-38 Consulting serves companies in markets including Raleigh, Charlotte, Atlanta, Austin, Tampa, Miami, New York City, Chicago, San Francisco, San Jose and Los Angeles. Founders can book a free 30-minute strategy session with the founder to review their metrics, reporting and funding readiness.
A Pre-Raise Metrics Audit
Before your next investor conversation, confirm each of the following:
● ARR excludes services, one-time fees and uncommitted usage
● You can show an ARR bridge for at least the past 12 months
● NRR and GRR are calculated by cohort with consistent definitions
● Gross margin includes hosting, support and onboarding costs
● CAC payback and burn multiple are tracked monthly
● Revenue recognition follows accrual accounting
● Your financial model includes base, upside and conservative scenarios
● You have reviewed eligibility for the R&D tax credit
Any gap on this list is worth fixing before diligence begins, not during it.
Questions SaaS Founders Often Ask
Which single metric do investors care about most?
It varies by stage, but ARR growth and net revenue retention are usually near the top. Later-stage investors also weigh efficiency metrics like burn multiple heavily.
When should a SaaS startup hire a CFO?
Many companies bring in part-time or outsourced CFO support before their first institutional round, when investor reporting and financial modeling become critical.
Should bookings and ARR be reported separately?
Yes. Bookings reflect signed contract value, while ARR reflects active recurring revenue. Mixing them can mislead investors.
Can a pre-revenue software company benefit from the R&D tax credit?
Potentially. Qualifying small businesses may be able to apply the credit against payroll taxes, even without income tax liability.
Metrics as a Competitive Advantage
Strong SaaS metrics do more than satisfy investors. They show founders where growth is efficient, where customers are slipping away and how much runway each decision really buys. Companies that define their numbers carefully, report them consistently and back them with clean financials walk into fundraising with credibility already established. With a finance partner like K-38 Consulting managing the details, founders can spend less time defending
